As business consultants, your privacy is important to us. This Privacy Notice explains what personal data we collect from you, through our interactions with you and through our services, together with how we use and store that data and the processes we have in place to keep your data secure.

What information do we collect?

The data retained on our records relate to:

  • Clients
  • Prospects
  • Suppliers
  • Referral partners
  • Associates
  • Advisors

We may also hold on our records contacts made:

  • via this website
  • during our normal networking in the business environment in which we operate

when we consider these contacts might be interested in our services or our events. In the case of contacts made at networking events, typically these contacts will have given us their details either verbally or in the form of their business card.

In addition to information about your computer and about your visits to and use of this website (e.g. IP address, geographical location, browser type, referral source, length of visit and number of page views), we may collect, store and use the following kinds of personal data:

  • Your name
  • Your telephone number
  • Your email address
  • Your business address (which could be your home address, if that is from where you typically work)
  • Your date of birth (only if needed to support grant or other applications to third parties that we are helping you with).

In addition, we may hold information relating to any correspondence carried out between you and us, either via this website or by email.

Cookies

A cookie is a text file sent by a web server to a web browser and stored by the browser. The text file is then sent back to the server each time the browser requests a page from the server. This enables the web server to identify and track the web browser. We may send a cookie which may be stored by your browser on your computer’s hard drive. We may use the information we obtain from the cookie in the administration of this website, to improve the website’s usability and for marketing purposes.

Most browsers allow you to refuse to accept cookies. For example, in Internet Explorer you can refuse all cookies by clicking “Tools”, “Internet Options”, “Privacy”, and selecting “Block all cookies” using the sliding selector. This will, however, have a negative impact upon the usability of many websites.

We use Google Analytics to analyse the use of this website. Google Analytics generates statistical and other information about website use by means of cookies, which are stored on users’ computers. The information generated relating to our website is used to create reports about the use of the website. Google will store this information. Google’s privacy policy is available here.

Your Rights

At any time you may request any of your rights under GDPR via email. You can read about your rights here.

Your data may be stored in our CRM, in our events portal, in our mailshot system, in our accounting system, in our email system, on our mobile phones and on other project collaboration systems we may deploy from time to time.

If you are a client or a prospect, your data may also be held in our cloud storage system in folders named for your business, and potentially in individual paper files.

Normally, we expect to keep digital client data indefinitely, and paper files for the duration of each stage of the client relationship.

Prospect data will be held in our digital files until they are qualified out or the opportunity is lost, and on paper for the same duration. When we have determined there is no further possibility of work, all data relating to a prospect that has not converted to a client will be erased.

All contact data is easily accessible should we receive any request under GDPR.

We will not charge you for any response to a GDPR request. We do, however, reserve the right to charge reasonable fees for additional copies of information that has already been supplied you, and for requests that are manifestly unfounded or excessive, particularly where such requests are repetitive.

Security of your personal data

We will take reasonable technical and organisational precautions to prevent the loss, misuse or alteration of your personal information. We store all the personal information you provide in secure cloud servers which have firewall protection. Of course, data transmission over the internet is inherently insecure, and we cannot guarantee the security of data sent over the internet.

We deploy anti-virus software on our local laptops and personal computers that will detect attempted breaches. Our external IT support deploys fire-wall and antispam software to detect breaches via email.

External breaches are raised internally and any threat to individuals whose personal data we hold will be notified immediately.

Legitimate Business Interests

We have conducted a formal assessment, and concluded we have a legitimate business interest to continue periodically:

New contacts will be explicitly invited to opt-in to our communications.

Should we start more regular communications, e.g. a Newsletter, all our contacts will explicitly invited to opt-in to receiving them.

Research

We are regularly seeking to improve and extend our knowledge and understanding of the issues and challenges faced by business, and in particular high growth businesses.

We conduct research by sending out questionnaires from time to time by email. Questions relating to personal data other than that listed elsewhere in this privacy notice will be limited to age-range, gender and racial demographic. Responses can be anonymous.

If you receive one you do not need to complete it if you do not want to. If at any time you wish to stop receiving research questionnaires you can reply to the email address at the bottom of the email you receive.

Other ways we may use your data

In addition to periodically communicating with you, we may use your personal information to:

  • administer the website
  • improve your browsing experience by personalising the website
  • enable your use of the services available on the website
  • send to you items requested via the website, and supply to you services requested via the website
  • send statements and invoices to you, and collect payments from you for services provided
  • send you email notifications which you have specifically requested
  • deal with enquiries and complaints made by or about you relating to the website.

Communicating personal information

We may share your information with our Associates in the normal course of our business dealings with you.

We will not divulge personal information to third parties without your express consent. Third parties that we may need permission to divulge information to include grant approval bodies such as Business West and InnovateUK, or Government bodies such as HMRC. Other third parties include businesses to whom we have referred you for your benefit.

We will never provide your personal information to any third parties for the purpose of direct marketing.

Other disclosures

In addition to the disclosures reasonably necessary for the purposes identified elsewhere in this privacy policy, we may disclose information about you:

  • to the extent that we are required to do so by law
  • in connection with any legal proceedings or prospective legal proceedings
  • in order to establish, exercise or defend our legal rights including providing information to others for the purposes of fraud prevention and reducing credit risk
  • to the purchaser (or prospective purchaser) of any business or asset which we are (or are contemplating) selling.

International data transfers

We currently only operate from the UK. If we open overseas offices, information that we collect may be stored and processed in and transferred between any of these countries to enable us to use the information in accordance with this privacy policy. If you are in the European Union, information which you provide may be transferred to countries which do not have data protection laws equivalent to those in force in the European Union. You expressly agree to such transfers should this situation arise.

Policy amendments

We may update this privacy policy from time-to-time by posting a new version on our website. You should check this page occasionally to ensure you are happy with any changes. We may also notify you of changes to our privacy policy by email.

Our website contains links to other websites. We are not responsible for the privacy policies or practices of third party websites.

Updating information
